SEAS Web Services Policy

The SEAS Office of Communications utilizes the university's content management system (UBCMS) to manage the web presence of the school, departments, and many of its research centers and institutes.

New Website Development

The creation of new websites must be approved and coordinated through the SEAS Office of Communications. New departments are eligible for new websites. Other entities are encouraged to utilize existing, relevant sites. Unauthorized creation of a SEAS website is not permitted.

Faculty may create personal websites and/or research lab websites; however, these sites may not be hosted in the UBCMS and are not supported by the SEAS Office of Communications. Resources are available through UBIT to host and manage personal and research lab websites.

A new website may be approved for a center, institute or program if it meets all the following criteria:

  1. Permanence: The entity has an ongoing, stable presence within the university’s organizational structure. It is not a short-term initiative, project, or grant-funded effort with a defined end date. The entity’s existence and operation are not dependent on the employment of a single faculty member, and the entity would not dissolve upon the faculty member’s departure.
  2. Student Facing: The entity engages regularly with students and offers academic programs. Internal entities that primarily serve faculty and staff should use an existing, relevant website.
  3. Unique Identity: The entity’s function and areas of focus are highly distinct from the broader efforts of its unit. Its work cannot be clearly communicated within an existing website.

UBCMS Access and Permissions

The SEAS Office of Communications manages UBCMS access for all SEAS-owned sites. Access to any sites outside of SEAS is managed by University Communications or the respective academic unit.

New users requesting access to SEAS-owned sites are first required to complete UBCMS and digital accessibility training for any access levels above Viewer.

The SEAS Office of Communications reserves the right to remove permissions from any UBCMS user that does not abide by accessibility requirements, does not demonstrate adequate proficiency using the UBCMS, and/or requires additional training.
